What this Index measures

The Dallas MSP Pricing Index is GXA's published framework for how managed IT pricing actually breaks down in the Dallas-Fort Worth mid-market. It is based on what we see in our own engagements (currently 20–500 employee businesses across professional services, healthcare, manufacturing, financial services, construction, real estate, nonprofits, and technology) plus what we observe in RFPs and competitive proposals.

It is not a public per-user rate. It is the seven inputs that produce a rate — so when you compare proposals from GXA and any other Dallas MSP, you are comparing the same factors.

The Seven Drivers

1. Number of users and endpoints

Per-user pricing scales linearly with your team. Endpoints (laptops, desktops, servers, mobile devices) factor into the security and patching workload, which is the largest single cost component for most engagements.

2. Industry & compliance profile

HIPAA, SOC 2, PCI-DSS, and CMMC each add documented control work — policies, evidence collection, audit support, and specialized tooling. Compliance-driven engagements are higher cost but bound the audit risk.

3. Security stack depth

Baseline managed IT includes endpoint security and patching. gShield™ adds MDR, 24/7 SOC monitoring, and phishing simulation. gShield vCISO Basic adds named security leadership and a GRC platform. gShield Compliance adds attestation preparation.

4. Strategic leadership intensity

Every engagement includes a vCIO and vITM. Higher-touch engagements add hours: deeper roadmap work, M&A integration, custom QBR analytics, board-level reporting, or executive coaching.

5. On-site cadence and geography

Standard is monthly on-site visits per client (four days per month from your vITM). More frequent visits, multi-site environments, or after-hours work are quoted individually based on travel and labor.

6. Cloud and infrastructure footprint

Microsoft 365 / Google Workspace licensing volume, server count, network complexity, and cloud provider relationships all flow into the quote. We do not mark up Microsoft licensing; we pass it through at cost.

7. Onboarding complexity

Onboarding is a one-time investment, separate from monthly fees. Standard onboarding is 60–90 days; more complex environments (multi-site, M&A, mid-migration) need more.

How much do managed IT services cost in Dallas?

GXA uses per-user pricing customized per engagement. The number depends on team size, industry/compliance requirements, security stack depth, and strategic leadership intensity. Why does GXA not publish a per-user price on the website?

Two reasons. First, every Dallas managed IT engagement is different — a 30-person law firm and a 200-person manufacturer have wildly different security, compliance, and on-site needs. Publishing a single number would either lowball complex environments or overprice simple ones. Second, the published market is full of headline numbers that come with footnotes the prospect never sees. We would rather have the conversation.

Do you charge separately for cybersecurity?

No. gShield™ baseline (MDR, SOC, phishing simulation) is included in every managed IT engagement. Two security tiers are quoted as add-ons: gShield vCISO Basic (security leadership + GRC platform) and gShield Compliance (attestation prep for HIPAA, SOC 2, PCI-DSS, CMMC). Most Dallas mid-market companies start with baseline and add the vCISO tier within 6–12 months.

Is there a contract minimum?

Yes. Most engagements use a 12-month initial term, which lets us recoup onboarding cost and gives the vCIO time to deliver a full strategic cycle (12-month roadmap, two QBRs). After year one, terms convert to month-to-month with 60 days notice.

How long does onboarding take and is it billed separately?

Standard onboarding is 60–90 days and is billed as a one-time fee separate from monthly recurring revenue. The fee depends on environment complexity. We provide a fixed quote after the discovery call.

Do you pass through Microsoft licensing at cost?

Yes. We do not mark up Microsoft 365, Microsoft Teams Phone, or other licensing. The same applies to most third-party tools. The only line items that carry margin are our own service hours and the gShield security stack.
